In this vital role, you will serve as the first point of contact for patients and their families, ensuring a welcoming and efficient experience from the moment they walk through the door. Your energetic approach and attention to detail will help facilitate smooth clinic operations, coordinate appointments, handle medical administrative tasks, and support our commitment to exceptional patient care. This paid position offers an exciting opportunity to contribute to a specialized pediatric cardiology practice while developing your skills in medical administration and patient service. Responsibilities Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in procedures. Manage appointment scheduling using electronic health record (EHR) systems, ensuring accuracy and timely updates. Handle multi-line phone systems with professionalism, answering inquiries promptly and directing calls appropriately. Maintain accurate medical records by filing documents, updating patient information in EHR systems, and reviewing documentation for completeness. Handling incoming referrals - creating new patients and scheduling appropriately Assist with patient intake processes, including collecting medical histories and updating demographic data. Support clinical staff by managing front desk duties such as appointment reminders, patient checkouts, and coordinating follow-up care plans. Ensure compliance with HIPAA regulations by safeguarding patient confidentiality during all interactions. Maintain a clean and organized reception area while managing clerical tasks such as filing, data entry, and document review efficiently. Willing to travel to outreach locations as team with doctor ~8 days/month to facilitate receptionist duties Qualifications Prior experience working in a medical office environment or healthcare setting is highly preferred. Knowledge of medical terminology is preferred, but not required Comfortable with learning new technology Exceptional phone etiquette with multi-line phone system experience; bilingual abilities are highly valued to serve diverse patient populations. Strong organizational skills with attention to detail in documentation review and medical records management. Ability to work collaboratively within a team while maintaining professionalism under pressure. Knowledge of HIPAA regulations related to patient privacy and data security is required. •Salary negotiable based on experience
