We are seeking a dedicated and highly organized Receptionist/Administrative Assistant to join our professional team. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and supporting office management functions. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to handle multiple administrative tasks efficiently. Position Overview We are seeking a reliable and detail-oriented Dental Receptionist with 1-3 years of front office experience (dental preferred, medical considered). This role is ideal for someone who is comfortable with front desk responsibilities and is ready to continue developing their skills in scheduling, patient communication, and office operations. Key Responsibilities Patient Check-In Greet patients warmly and professionally Verify patient information and assist with forms Maintain an organized and welcoming front desk Patient Check-Out & Payments Collect co-pays and balances at time of service Review completed treatment and schedule next visits Communicate basic financial expectations clearly Scheduling Responsibilities Schedule and confirm patient appointments Maintain an organized and efficient daily schedule Help fill open appointment times due to cancellations Assist with recall (routine visits) and re-care scheduling Phone & Patient Communication Answer phones in a professional and friendly manner Schedule new and existing patients efficiently Respond to questions regarding appointments and office policies Follow up on missed or rescheduled appointments Administrative Duties Enter and update patient records accurately Assist with basic insurance verification Support front office organization, filing, and documentation Greet visitors and clients with professionalism and courtesy, creating a welcoming environment at the front desk. Manage multi-line phone systems, directing calls accurately and responding promptly to inquiries. Perform data entry, filing, and document proofreading to maintain accurate records and correspondence. Utilize multiple practice management and operations platforms and tools for scheduling, document creation, and communication. Support office management tasks such as supply inventory, mail distribution, and basic record keeping. Provide customer support by addressing inquiries efficiently and maintaining positive relationships with clients and vendors. Maintain a clean, organized front desk area while adhering to office policies on confidentiality and professionalism. Qualifications 1-3 years of front desk or customer service experience required Dental experience preferred, but not required Strong communication and organizational skills Comfortable learning new systems and workflows What We're Looking For Friendly, professional, and dependable Organized with attention to detail Able to multitask in a fast-paced environment Willing to learn and grow within a dental office Positive team player Shows initiative and is willing to learn and take ownership of responsibilities Proactive in helping keep the day organized and running smoothly Greet visitors and clients with professionalism and courtesy, creating a welcoming environment at the front desk. Provide customer support by addressing inquiries efficiently and maintaining positive relationships with clients and vendors. Maintain a clean, organized front desk area while adhering to office policies on confidentiality and professionalism.
