Job Description

Job Summary We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your positive attitude and efficient administrative skills will ensure smooth daily operations, creating a professional and friendly environment for everyone who walks through our doors. Responsibilities Greet visitors warmly, verify appointments, and direct them appropriately Manage multi-line phone systems, screen calls, and take detailed messages Maintain a tidy and organized reception area, ensuring a professional appearance Handle incoming and outgoing correspondence, including emails and mail distribution Schedule appointments, manage calendars, and coordinate meetings using digital tools like Google Workspace and Microsoft Office Perform clerical duties such as data entry, filing, proofreading, and document preparation Support office management tasks including inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software Assist with customer support inquiries via phone or email with excellent phone etiquette and professionalism Experience Previous office experience or clerical experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Familiarity with multi-line phone systems and office management software such as QuickBooks is preferred Bilingual abilities are a plus to serve diverse clients effectively Excellent organizational skills with the ability to prioritize tasks efficiently Demonstrated customer service skills with a friendly and professional demeanor Experience in medical or dental receptionist roles is advantageous but not required Personal assistant or calendar management experience can be beneficial for supporting team needs Join us to be part of a vibrant team dedicated to delivering outstanding service while growing your administrative expertise.
