reviews Full-time The Administrative Receptionist is the first point of contact for residents and visitors calling or visiting the United Presbyterian Home. The Administrative Receptionist handles a wide variety of situations, many changing daily, and is able to delegate and effectively communicate to Department Directors and other team members. Effective communication via in-person interaction, phone and email ensures successful completion of duties in this role. Essential responsibilities in this role include: Answering phone calls as they come in, screening and directing calls appropriately Greeting residents and visitors as they come into the office Receiving payments in person or via mail, receipting and depositing the payments as they arrive Take requests for work orders, gathering the appropriate details and effectively communicating those to the Maintenance Team Sort and open mail as it is delivered, distributing it to the correct department Weekly preparation of "The Periscope" weekly newsletter Oversee meal count process, reporting monthly to Administrative Assistant for billing purposes Maintain resident records across various systems Assist with collection of new resident paperwork and file creation Produce and distribute letters, emails and other communications Maintain organized filing systems both physical and digital The ideal candidate will possess the following: Related job experience administrative work Time management skills with the ability to multi-task and prioritize work Attention to detail and organizational skills Proficiency with Windows, Microsoft Office (Word, Excel, Outlook), and the internet required. Ability to learn new computer programs Must be a good listener with a pleasant demeanor Ability to communicate effectively with residents, resident families and colleagues Experience working with older adults which shows a positive attitude toward aging and older adults with sensitivity to their needs
