In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage multi-line phone systems, handle data entry tasks with accuracy, and support office management functions. Your organizational skills and computer literacy will help streamline daily operations, providing exceptional customer service and administrative support to keep our office running smoothly. Responsibilities Greet visitors promptly and professionally, directing them appropriately and maintaining a friendly demeanor at all times Operate multi-line phone systems, answer inquiries, transfer calls efficiently, and provide excellent customer support Perform data entry with high accuracy into various software platforms such as Quickbooks Online and QuickBooks Desktop Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents Assist with calendar management and scheduling appointments for staff or executives Maintain Office organization by digitally archiving Bookkeeping records. Requirements Proven experience in front desk reception or office administration roles with clerical responsibilities Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software like QuickBooks Excellent phone etiquette with experience managing multi-line phone systems in a professional setting Exceptional organizational skills with keen attention to detail and accuracy in typing and proofreading Demonstrated ability to handle customer service interactions professionally and courteously Prior office experience involving filing, bookkeeping, or administrative support is preferred Strong time management skills to prioritize tasks efficiently in a fast-paced environment Join us in delivering outstanding administrative support while fostering a welcoming atmosphere for clients and colleagues alike.
