This vital role ensures the smooth operation of daily office activities, provides exceptional customer service, and maintains an inviting front desk environment. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to support our administrative functions and create a welcoming atmosphere for visitors and staff alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and friendly workplace. Duties Greet visitors warmly, answer multi-line phone systems, and direct calls efficiently using proper phone etiquette Manage front desk operations, including checking in guests, handling inquiries, and maintaining a professional reception area Perform data entry, filing, and document proofreading to ensure accuracy and organization of records Utilize office management software such as QuickBooks, Microsoft Office Suite, and Google Workspace to support administrative tasks Assist with calendar management, appointment scheduling, and coordinating meetings for staff and clients Support bookkeeping activities including basic bookkeeping tasks and record keeping Handle clerical responsibilities such as photocopying, faxing, mailing, and maintaining office supplies Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to serve diverse clients and staff members Demonstrated experience in office management or administrative support roles with attention to detail Exceptional customer service skills coupled with professional phone etiquette for handling inquiries via multi-line phone systems Proven ability in data entry, filing systems, proofreading documents, and managing schedules accurately Experience working as a dental or medical receptionist or personal assistant is a plus but not required Knowledge of bookkeeping practices such as invoicing or basic financial recordkeeping is beneficial Strong time management skills with the ability to multitask efficiently in a busy office setting Join us in creating an organized, welcoming environment where professionalism meets energetic support!
