Job Description

Summary/Objective:
The Receptionist serves as the first point of contact for guests and employees, creating a welcoming, professional, and well‑organized front‑of‑house experience. This role is primarily responsible for greeting visitors, managing front desk operations, coordinating visitor schedules, and ensuring meeting rooms are prepared and maintained for daily use. The ideal candidate is friendly, detail‑oriented, dependable, and enjoys creating a positive experience for others. This role focuses on hospitality, scheduling accuracy, and space readiness, with light administrative support.
Duties/Responsibilities:

Guest Reception & Front Desk Presence Welcome and greet guests warmly at the front desk, ensuring a positive first impression. Notify employees of visitor arrivals and assist guests with wayfinding as needed. Support visitor sign-in, badging and arrival logistics in alignment with HQ procedures, ensuring a smooth and professional guest experience. Maintain a professional, organized, and welcoming front desk area at all times. Answer general inquiries and route questions or requests appropriately. Collaborate closely with Concierge to ensure consistent guest experiences, smooth daily operations, and seamless coverage. Scheduling & Calendar Coordination Manage and monitor meeting room calendars to support accurate scheduling and efficient use of shared spaces. Assist with reserving meeting rooms and coordinating availability for meetings and visits. Meeting Room Preparation & Reset Prepare meeting rooms prior to scheduled meetings, including room setup, cleanliness checks, and basic space configuration. Reset meeting rooms following use to ensure readiness for the next meeting. Administrative & Team Support Provide basic administrative support related to front desk operations and guest visits. Serve as back-up support to Concierge position as needed. Competencies Hospitality‑

Supervisory responsibilities None Work environment Office environment Physical demands Ability to sit or stand for extended periods throughout the workday Frequent use of hands and arms to operate office equipment Ability to walk through facility to prepare, check and reset meeting rooms Occasional light lifting, carrying or moving items such as packages, office supplies, or meeting materials Ability to bend, reach, and stoop as needed to support room setup and space readiness Visual and auditory ability sufficient to interact with guests, read schedules, and respond to phone and inquiries Travel required No travel required. Required education and experience High School Diploma or equivalent required Additional coursework in office administration, customer service, or hospitality a plus, but not required 0-2 years of experience in a receptionist, front desk, customer service, retail, hospitality, or administrative support role preferred. Prior experience working in a professional office or customer‑facing environment is helpful but not required.
