This energetic role involves managing front desk operations, handling multi-line phone systems, and providing exceptional customer support. The ideal candidate will be bilingual, possess strong office management skills, and demonstrate proficiency in various computer applications. Your enthusiasm and professionalism will help create a positive environment for clients, visitors, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills Handle appointment scheduling, calendar management, and coordinate meetings efficiently Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Assist with office management tasks such as supply ordering, mail distribution, and general organization Support bookkeeping activities including basic bookkeeping tasks and invoice processing Proofread documents for accuracy and clarity before distribution or submission Provide personal assistant support by managing correspondence, reminders, and other administrative duties as needed Experience Previous office experience or clerical experience demonstrating organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Experience with multi-line phone systems and handling high-volume calls with professionalism Bilingual abilities are highly preferred to assist a diverse client base effectively Knowledge of QuickBooks or similar bookkeeping software is a plus Strong time management skills with the ability to prioritize tasks efficiently Experience in customer support or client-facing roles that require excellent communication skills Personal assistant or office management experience is advantageous but not mandatory Join us in creating a welcoming environment while honing your administrative talents!
