Job Description

Overview We are seeking an energetic and highly organized Receptionist/Secretary to join our dynamic team. This vital role serves as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. The ideal candidate will demonstrate exceptional communication skills, multitasking abilities, and a proactive attitude to support daily office operations. Responsibilities Greet visitors warmly and direct them appropriately, maintaining a professional and friendly demeanor at all times Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution Maintain organized filing systems, both physical and digital, for easy retrieval of documents Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination Assist with data entry, proofreading documents, and maintaining accurate records using Microsoft Office and Google Workspace applications Provide exceptional customer service support by addressing inquiries promptly and professionally Perform clerical duties including photocopying, faxing, and basic bookkeeping using QuickBooks or similar software Qualifications Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Prior experience managing multi-line phone systems and providing customer support in a professional setting Strong typing skills with attention to detail for proofreading and data entry tasks Knowledge of office management procedures including filing systems, calendar management, and bookkeeping practices Exceptional phone etiquette combined with excellent organizational skills and time management capabilities Personal assistant or executive secretary experience is a plus but not required Join us to be part of a dedicated team committed to delivering outstanding service while advancing your administrative career.
