Job Description

Administrative Clerk/ Receptionist Midwest Psychological Center, Inc. Summary Midwest Psychological Center is seeking a full time Administrative Clerk to work at the New Castle Correctional Facility. The New Castle Correctional Facility Administrative Clerk/ Receptionist operates the facility telephone system to direct incoming calls and place outgoing calls, arranges legal teleconferences, video conferences, and visits from legal representatives under the direct supervision of the Executive Assistant. They will also greet visitors as they enter the Administration area and assist Administrative staff in a variety of clerical support activities. Primary Duties and Responsibilities Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable. Answers questions about organization and provides callers with address, directions, and other information.
Answers general questions regarding offenders:
housing location, release date, mail, phone, and visitation processes. Answers general questions about visitation days and times for all housing locations. Corresponds with court representatives and attorneys to schedule teleconferences and videoconferences to include receiving and understanding court orders. Corresponds with court representatives and attorneys to schedule meetings and depositions to include receiving and understanding court orders. Arranges room for meetings and depositions, notifies effected staff, prepares gate release, and issues offender pass. Provides assistance to other administrative staff using various computer systems and filing methods. Minimum Requirements High school diploma or equivalent certification required. Minimum one (1) year of clerical experience or an equivalent combination of clerical/administrative experience preferred. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to provide effective customer services by responding promptly to customer needs, services, and inquiries. Ability to speak clearly and persuasively in positive or negative situations, listen and get clarification; and respond well to questions. Ability to adapt to changes in the work environment; manage competing demands and adapt to frequent change, delays, or unexpected events. Ability to work with computers and the necessary software typically used by the department.
