Overview We are seeking a dynamic and personable Front Desk Receptionist to be the welcoming face of our organization. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills to create a positive first impression and support daily administrative functions. Responsibilities Greet visitors and clients warmly, directing them appropriately and ensuring a positive experience from the moment they arrive Answer multi-line phone systems promptly, professionally, and courteously, directing calls or taking messages as needed Manage appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with accuracy and efficiency Maintain organized filing systems, data entry records, and ensure all documentation is up-to-date and properly stored Support office management tasks such as supply inventory, photocopying, proofreading documents, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including typing reports, proofreading materials, managing customer support inquiries, and supporting administrative projects Qualifications Proven office experience with strong organizational skills and attention to detail Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Prior experience in customer service or front desk roles, preferably in medical or dental offices or similar environments Strong phone etiquette skills with experience managing multi-line phone systems effectively Bilingual abilities are highly desirable to serve diverse client needs Demonstrated ability to handle clerical tasks such as data entry, filing, proofreading, and calendar management efficiently Knowledge of office management software like QuickBooks for bookkeeping purposes is a plus Exceptional time management skills with the ability to prioritize tasks in a fast-paced setting Personal assistant or medical receptionist experience is advantageous but not required; training will be provided for specific responsibilities Join us in creating a welcoming environment where professionalism meets warmth!
