Approximately 2:00 PM - 7:00PM Status:
Part-Time Position Summary As the Receptionist for Sit Now Stay , you are the central hub of our facility. This role is far more than just answering phones; you are the bridge between our clients, their dogs, and our training staff. You will manage high-volume communications, ensure seamless facility flow, and maintain the administrative accuracy that allows our trainers to focus on what they do best.Note:
Proficiency in Gingr (dog management software) or a high level of tech-savviness to master it quickly is a giant plus.Core ResponsibilitiesClient Experience & Communication Omnichannel Lead Management:
Act as the first point of contact for all inquiries via GoHighLevel (GHL), phone, and in-person visits.Strategic Navigation:
Guide client inquiries toward clear resolutions—whether booking a service, scheduling a follow-up, or resolving a concern.Information Expert:
Provide confident, accurate information regarding our training programs, pricing, and facility policies.Operations & System Management Communication Integrity:
Monitor and respond to messages with urgency, ensuring zero "dropped threads" in client conversations.Scheduling:
Manage service bookings, confirm appointments, and maintain meticulous client records for team-wide visibility.Workflow Coordination:
Prepare "Run Cards" for boarding dogs, documenting precise feeding, medication, and behavioral instructions to ensure zero gaps in care.Dog Handling & Facility Flow Safe Transitions:
Handle and transport dogs (up to 50+ lbs) safely between the lobby, kennel areas, and trainers.Check-In/Out Logistics:
Facilitate a smooth, professional flow during peak afternoon pick-up hours.Active Observation:
Maintain constant awareness of dog behavior and safety protocols during all transitions.Team Alignment & Problem Solving Proactive Reporting:
Maintain a direct line of communication with the Supervisor to flag system issues, client concerns, or operational bottlenecks.Escalation Management:
Handle client concerns with professionalism, resolving issues on-site or escalating to leadership when necessary. Key Skills & Qualifications The "Closer"Mindset:
Ability to steer conversations toward clear next steps and completion.Tech Savvy:
Proficiency with CRM or communication platforms ( GoHighLevel and Gingr experience is a giant plus). High Attention toDetail:
A natural instinct for catching small errors in schedules or care instructions.Physical Capability:
Comfortable and confident handling dogs up to 50 lbs in a busy, high-energy environment.Accountability:
A team-first attitude with the ability to own your station and solve problems before they escalate. Experience Requirements Previous experience in customer service, hospitality, or animal care is preferred. Must be comfortable working in an environment with high noise levels and physical activity.
