Job Description

Overview We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. As the first point of contact for visitors and callers, you will create a welcoming environment while managing a variety of clerical tasks with efficiency and professionalism. Duties Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette Handle front desk operations including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures Perform data entry, filing, and record keeping using Microsoft Office Suite and Google Workspace tools to ensure organized documentation Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Support administrative functions including proofreading documents, preparing correspondence, and managing calendar appointments for staff or executives Provide bilingual support as needed to serve diverse client needs effectively Qualifications Proven office experience with strong clerical skills including data entry, filing, and document proofreading Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy Experience with multi-line phone systems, phone etiquette, and customer support roles Familiarity with office management tasks such as calendar management, scheduling appointments, and organization skills Ability to handle confidential information discreetly while demonstrating excellent time management and organizational skills Prior experience in reception roles within medical or dental offices is a plus; personal assistant experience is also valued Bilingual abilities are highly desirable to enhance communication with diverse clients and team members Join us in creating a vibrant workplace where your organizational talents shine!
