Job Summary We are seeking a dynamic and organized Office Clerk and Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring the smooth operation of daily office activities. As the first point of contact for visitors and callers, you will create a welcoming environment while managing essential clerical tasks that keep our office running efficiently. Responsibilities Greet visitors warmly, direct them appropriately, and ensure a positive first impression of the company Manage multi-line phone systems, answer inquiries, transfer calls, and take detailed messages with excellent phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy and confidentiality Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination Assist with bookkeeping duties using QuickBooks or similar software for basic invoicing and expense tracking Perform general clerical duties including photocopying, faxing, ordering supplies, and maintaining office equipment Skills Proven experience in front desk operations and office administration Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Exceptional customer service skills with a professional demeanor and strong communication abilities Familiarity with multi-line phone systems, data entry, filing procedures, and proofreading standards Knowledge of bookkeeping software such as QuickBooks is a plus Ability to manage time efficiently while handling multiple responsibilities simultaneously Personal assistant experience or calendar management skills are advantageous Join us in creating an energetic workplace where your organizational talents shine!
