Description We are looking for a Front Desk Coordinator to support daily guest-facing and administrative operations for a hospitality environment. This contract position is ideal for someone who enjoys creating a welcoming first impression while keeping front office tasks organized and running smoothly. The role blends customer interaction, phone coverage, scheduling support, and accurate record management in a fast-paced setting.
Responsibilities:
Welcome visitors and guests with professionalism, provide directions, and ensure a positive arrival experience.
Manage a multi-line phone system, route calls efficiently, and take clear messages for internal teams.
Coordinate front desk activities by handling inquiries, appointments, and general administrative support tasks.
Maintain accurate records through timely data entry, document updates, and organized file management.
Assist with concierge-style support by responding to guest requests and connecting them with appropriate services or resources.
Prepare and edit routine correspondence, reports, and spreadsheets using Microsoft Word and Excel.
Monitor shared inboxes and calendars in Microsoft Outlook to support communication and scheduling needs.
Keep the reception area orderly and ensure front office materials are stocked and accessible. Requirements
Experience in front desk, reception, hospitality, or administrative support roles.
Ability to manage a multi-line phone system while maintaining a courteous and efficient approach.
Strong customer service and interpersonal skills with confidence interacting with diverse guests and staff.
Proficiency in Microsoft Word, Excel, and Outlook for daily office tasks and communication.
Accurate data entry skills and strong attention to detail when maintaining records and files.
Effective organizational skills with the ability to prioritize multiple responsibilities in a busy environment.
Detail-oriented verbal and written communication skills.
Availability to work on a contract basis in Boston, Massachusetts.
