Job Description

Description We are looking for a Front Desk Coordinator to support daily guest-facing and administrative operations for a hospitality environment. This contract position is ideal for someone who enjoys creating a welcoming first impression while keeping front office tasks organized and running smoothly. The role blends customer interaction, phone coverage, scheduling support, and accurate record management in a fast-paced setting.
Responsibilities:
  • Welcome visitors and guests with professionalism, provide directions, and ensure a positive arrival experience.
  • Manage a multi-line phone system, route calls efficiently, and take clear messages for internal teams.
  • Coordinate front desk activities by handling inquiries, appointments, and general administrative support tasks.
  • Maintain accurate records through timely data entry, document updates, and organized file management.
  • Assist with concierge-style support by responding to guest requests and connecting them with appropriate services or resources.
  • Prepare and edit routine correspondence, reports, and spreadsheets using Microsoft Word and Excel.
  • Monitor shared inboxes and calendars in Microsoft Outlook to support communication and scheduling needs.
  • Keep the reception area orderly and ensure front office materials are stocked and accessible. Requirements
  • Experience in front desk, reception, hospitality, or administrative support roles.
  • Ability to manage a multi-line phone system while maintaining a courteous and efficient approach.
  • Strong customer service and interpersonal skills with confidence interacting with diverse guests and staff.
  • Proficiency in Microsoft Word, Excel, and Outlook for daily office tasks and communication.
  • Accurate data entry skills and strong attention to detail when maintaining records and files.
  • Effective organizational skills with the ability to prioritize multiple responsibilities in a busy environment.
  • Detail-oriented verbal and written communication skills.
  • Availability to work on a contract basis in Boston, Massachusetts.
