Job Description

Job Summary We are seeking an energetic and highly organized Secretary/Receptionist to be the welcoming face of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, including bilingual abilities, to assist visitors, manage calls, and support office management tasks efficiently. Responsibilities Greet visitors warmly and professionally, directing them appropriately and maintaining a positive first impression Manage multi-line phone systems with courteous phone etiquette, screening and directing calls effectively Handle incoming correspondence, emails, and inquiries promptly and accurately Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks for bookkeeping and data entry Assist with clerical tasks such as typing reports, proofreading documents, managing office supplies inventory, and supporting customer service efforts Experience Prior office experience or administrative support experience is required; familiarity with front desk operations is highly valued Proven ability in handling multi-line phone systems and providing excellent customer support in a professional setting Bilingual proficiency (English/Spanish or other languages) is preferred to serve diverse clients effectively Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated computer literacy with proficiency in Microsoft Office applications, Google Workspace, QuickBooks, and data entry tools Experience in clerical duties such as filing, proofreading, calendar management, and bookkeeping is advantageous Excellent time management skills coupled with professional phone etiquette to ensure seamless daily operations Join us in creating a welcoming environment where professionalism meets efficiency!
