Job Description

As our Office Assistant, you'll serve as the first point of contact for clients, visitors, and vendors - ensuring every interaction reflects our professional and welcoming environment. You'll support the broader team by managing front desk operations, coordinating communication, organizing office logistics, and assisting with administrative related tasks that keep our business running smoothly. Duties Greet and assist visitors, clients, and vendors with professionalism and warmth. Answer, screen, and direct phone calls and emails promptly and accurately. Maintain the front desk, conference rooms, and shared spaces in a clean and organized state. Manage mail, packages, and deliveries. Provide administrative support to the HR Manager and all departments as needed. Prepare correspondence, forms, and reports; assist with scheduling and meeting coordination. Maintain office supply inventory and vendor coordination. Support HR with filing, document organization, and onboarding logistics. Help coordinate company events, meetings, and employee activities. Maintain accurate electronic and paper records and assist with data entry and tracking.
Experience:
3-5 years of administrative, receptionist, or office support experience. Strong verbal and written communication skills. Excellent organization, attention to detail, and ability to manage multiple priorities. Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar) or similar tools. Professional, friendly, and customer-oriented demeanor. Discretion and professionalism when handling confidential information.
Preferred:
Experience in a professional services or property management office environment. Familiarity with phone systems, copiers, and general office equipment. Basic understanding of HR or administrative processes.
