ReceptionistJob Description The Receptionist serves as the first point of contact for patients both over the phone and in person in a kidney specialist office. This role manages a high volume of incoming and outgoing calls, schedules appointments using EPIC, and supports the front office with routine clerical tasks. The position offers training for candidates with strong customer service backgrounds and provides opportunities for career growth into roles such as intake coordinator, billing, or lead receptionist. Responsibilities Serve as the first point of contact for patients in person at the front desk and over the phone, providing a friendly and welcoming experience. Answer and manage a multi-line phone system, averaging approximately 40 incoming calls per day. Transfer calls promptly and accurately to the appropriate parties or departments. Make outbound calls to schedule follow-up appointments and confirm patient information as needed. Schedule patient appointments using EPIC, ensuring accuracy and completeness of information. Use Outlook and Word daily to manage communications, calendars, and basic documentation. Assist with routine clerical duties such as scanning, filing, and organizing patient or office records. Collaborate with a team of receptionists to ensure consistent coverage and smooth front desk operations. Learn and navigate new computer systems and office processes efficiently. Demonstrate reliability, professionalism, and a trainable attitude to support potential advancement into expanded responsibilities. Essential Skills Proven customer service experience in any industry such as retail, hospitality, or food service. Friendly, welcoming demeanor with strong interpersonal and communication skills. Ability to navigate and learn new computer systems quickly and accurately. Comfort working with multi-line phone systems and handling a steady volume of calls. Basic proficiency with computers and standard office software. Customer service oriented mindset with a focus on patient and visitor satisfaction. Additional Skills & Qualifications Previous experience as a receptionist, front desk associate, or administrative assistant. Experience in a medical or healthcare setting. Familiarity with EPIC systems or other electronic medical record platforms. Experience using Microsoft Office, including Outlook and Word, in a professional environment. Background in retail customer service, hospitality, or food service, especially for candidates transitioning into an office role. Interest in growing into roles such as intake coordinator, billing, or lead receptionist. Work Environment The Receptionist works at the front office of a kidney specialist practice, seated behind a glass partition at the reception area. The role is part of a team of receptionists who collaborate and rotate between locations, supporting a consistent and professional front desk presence. The schedule is Monday through Friday, with typical hours from 8:00 a.m. to 5:00 p.m. The environment is professional, patient-facing, and computer-based, requiring frequent use of EPIC, Outlook, Word, and a multi-line phone system.
