Receptionist Job Description The Receptionist serves as the first point of contact for visitors and callers, providing friendly, professional customer service while supporting the smooth operation of the front desk and dealership through a variety of clerical and administrative tasks. Responsibilities Greet customers in a warm, professional manner and create a welcoming atmosphere at the front desk. Direct customers to the appropriate service areas, including sales, service, coffee station, restrooms, or seating areas. Answer and route incoming telephone calls promptly and accurately to the appropriate departments or staff members. Contact sales staff or other team members on behalf of customers and ensure timely follow-up. Maintain an organized and presentable front desk and reception area at all times. Perform general clerical and administrative duties as assigned to support the smooth functioning of the dealership. Order necessary supplies for the front desk and related areas, such as name tags and other approved items, when authorized by management. Handle basic filing, data entry, and other administrative support tasks as needed. Provide courteous and efficient customer service to both in-person visitors and callers. Maintain a cheerful, positive, and professional demeanor toward customers and colleagues, even during busy periods. Support retail and sales activities by directing customer inquiries and providing accurate information about where to go or whom to see. Assist with additional duties as requested to ensure a high level of customer satisfaction and operational efficiency. Essential Skills Proven customer service experience in a front-facing or service-oriented role. Outgoing and friendly personality with the ability to make customers feel welcome. Ability to multitask effectively in a busy environment, handling phone calls, in-person inquiries, and administrative tasks simultaneously. Strong receptionist and front desk skills, including greeting visitors and managing a multi-line phone system. Administrative skills, including filing, basic data entry, and general office support. Proficiency with Microsoft Office applications. Customer service-oriented mindset with strong communication and interpersonal skills. Ability to work evenings, Saturdays, and selected Sundays as scheduled. Additional Skills & Qualifications Experience in retail, retail sales, or food service environments, demonstrating strong customer interaction skills. Previous receptionist or front desk experience in a customer-focused setting. Experience using Outlook or similar email and calendar tools. Background in roles requiring high levels of multitasking and customer service is a strong fit for this position. Comfort working a schedule that includes evenings and weekends. Work Environment This role is based at an automotive dealership location in NE Salem that operates multiple new and used vehicle lots. The Receptionist works at the front desk in a professional showroom environment, interacting frequently with customers, sales staff, and service personnel. The setting is active and customer-focused, with regular foot traffic and phone activity throughout the shift. New hires complete an initial training period that includes five daytime training days (approximately 9:00 a.m. to 3:00 p.m.) and three closing shifts alongside experienced staff.
