Job Description

We are looking for a detail-oriented Receptionist to support daily front-office operations for a civil engineering office in Salem, Ohio. This long-term contract opportunity is ideal for someone who enjoys creating a welcoming environment while keeping administrative tasks organized and on schedule. The person in this role will serve as a central point of contact for visitors, calls, documents, and office coordination, while helping maintain a smooth workflow across the team.
Responsibilities:
  • Welcome visitors, confirm their arrival details, and guide them to the appropriate staff members or meeting areas.
  • Manage incoming calls through a multi-line phone system, route inquiries accurately, and provide courteous front-desk support.
  • Create and format business documents such as correspondence, reports, specifications, and legal descriptions using Microsoft Word.
  • Complete everyday administrative work including filing, copying, scanning, record handling, and general document preparation.
  • Track inventory of workplace materials and coordinate replenishment of office supplies as needed.
  • Support project administration by organizing job files, assembling and binding plan sets, and maintaining both electronic and paper records.
  • Coordinate outgoing shipments, receive deliveries, and monitor the status of project-related submittals and packages.
  • Use standard office equipment, including copiers, scanners, and large-format printers or plotters, to support team and project needs.
