Job Description
OVERVIEW
As a Front Desk Coordinator/Administrative Assistant you'll play an essential role in supporting our building and ensuring smooth operations across various departments. This is an exciting opportunity for a detail-oriented individual who thrives in a collaborative environment and is eager to make a meaningful impact.Position:
Monday - Friday, 8:30-4:30 in-officeGENERAL RECEPTION DUTIES INCLUDE
Monitor entrance to building. Greet Diocesan guests. Direct them to their meeting/appointment. Answer calls for the diocese switchboard, access and provide timely and accurate assistance by directing calls/callers accordingly. Monitor voicemail and return calls in a timely manner. Provide prescreen and schedule appointments for departments as needed. Process and direct clients with pre-scheduled appointments. Clerical assistance to staff. Perform other tasks as requested by supervisor that will assist the agency in carrying out its mission. Prioritize workload. Effectively and courteously communicate with guests, clients, staff, and volunteers. Interface with rest of staff and work supportively to preserve team-work environment.KNOWLEDGE, SKILLS AND ABILITIES
needed to successfully perform the essential duties and responsibilities of this position include: High school diploma or equivalent; associate or bachelor's degree preferred. Proven experience as an administrative assistant or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Ability to interact professionally with co-workers, clients and visitors. Ability to work under pressure and prioritize workload. Excellent organizational and time-management skills. Bilingual - Spanish/English preferred. Strong ability to effectively communicate verbally and in written form, and interpret written information. Ability to work independently and as part of a team.PHYSICAL DEMANDS
: This position may require extended periods of standing, sitting, bending, lifting or other tasks during the course of the work.WORK ENVIRONMENT
