Job Description

Job Summary We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support various administrative functions to ensure smooth office flow. Your energetic approach and excellent organizational skills will help create a positive environment for clients, staff, and guests alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a professional and lively workplace atmosphere. Duties Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the office Answer multi-line phone systems promptly and professionally, providing exceptional customer service Manage incoming calls, take messages accurately, and route inquiries efficiently Handle data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records Assist with appointment scheduling and calendar management for staff and clients Perform clerical duties such as filing, proofreading documents, and organizing office supplies Support office management tasks including basic bookkeeping with QuickBooks and maintaining office inventory Maintain a clean, organized front desk area to promote a welcoming environment for all visitors Skills Proven experience in office administration or reception roles with strong clerical skills Excellent customer service skills with professional phone etiquette and interpersonal abilities Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with multi-line phone systems and calendar management software Bilingual abilities are highly valued to serve diverse client needs effectively Strong organizational skills with attention to detail in data entry, filing, and proofreading tasks Ability to manage time efficiently in a fast-paced environment while multitasking effectively Experience with medical or dental receptionist duties is a plus, including familiarity with medical terminology and personal assistant responsibilities Knowledge of bookkeeping software like QuickBooks for basic financial recordkeeping is advantageous Demonstrated computer literacy with the ability to adapt quickly to new software tools Join us as a Front Desk Receptionist where your enthusiasm and professionalism will make a lasting impression!
