Job Description

Overview We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, including bilingual abilities, to serve diverse clients and visitors effectively. Duties Greet visitors, clients, and vendors with a friendly and professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette Handle all front desk responsibilities including scheduling appointments, managing calendars, and coordinating meetings Perform data entry, filing, and document proofreading to maintain accurate records and support administrative processes Operate office equipment such as computers, printers, and Google Workspace tools with high computer literacy Support office management tasks including supply inventory, basic bookkeeping using QuickBooks, and organization of office space Provide customer support by addressing inquiries promptly and professionally in person or via phone or email Skills Proven experience in office management or administrative roles with strong clerical skills Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong typing skills coupled with attention to detail for proofreading and data entry tasks Bilingual abilities to communicate fluently with diverse populations (preferred) Knowledge of multi-line phone systems and proper phone etiquette for professional interactions Experience in medical or dental receptionist roles is a plus but not required Familiarity with bookkeeping software such as QuickBooks for basic financial tasks Personal assistant experience or calendar management skills to coordinate schedules efficiently Demonstrated ability to handle confidential information with discretion and professionalism Join our team where your organizational talents will make a real impact!
