In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support office management tasks to ensure smooth daily operations. Responsibilities Greet visitors warmly and professionally, ensuring a positive first impression at all times Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently Manage appointment scheduling and calendar coordination using office management tools and Google Workspace applications Handle incoming and outgoing correspondence, including emails, mail, and packages with precision Maintain organized filing systems, data entry records, and ensure confidentiality of sensitive information Support clerical duties such as proofreading documents, managing office supplies, and performing basic bookkeeping using QuickBooks or similar software Assist with customer service inquiries, providing support or redirecting as needed to ensure client satisfaction Perform general office management tasks including photocopying, faxing, and maintaining a clean reception area Qualifications Proven experience in office administration or clerical roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Prior experience with multi-line phone systems and phone etiquette is essential Bilingual abilities are highly desirable to serve diverse clients effectively Strong typing skills with attention to detail for data entry and proofreading tasks Knowledge of office management practices such as filing, calendar management, and time management techniques Previous experience in customer service or reception roles within medical or dental offices is a plus Ability to handle multiple priorities efficiently while maintaining a friendly demeanor This role is perfect for motivated individuals eager to grow their administrative skills in a supportive environment.
