  • Full-time We are seeking a professional, organized, and compassionate Front Desk Staff member to support our Home Care Services office.
This role is essential to daily operations, serving as a primary point of contact for clients, caregivers, and referral partners. The ideal candidate will excel in communication, scheduling, and administrative coordination while maintaining a high level of professionalism and confidentiality. Experience in home care, healthcare, or staffing environments is highly desirable. Key Responsibilities Greet clients, caregivers, and visitors warmly, providing exceptional customer service in person and by phone Manage a multi-line phone system, screen and route calls, and respond to inquiries from clients, families, and caregivers Coordinate caregiver schedules, manage client appointments, and assist with shift coverage using Google Workspace, or Microsoft Office tools Communicate schedule changes, assignments, and updates clearly to caregivers and clients Assist with caregiver onboarding processes, including application tracking, document collection, and coordination with hiring staff Perform data entry and maintain accurate client and caregiver records in compliance with HIPAA and company policies Handle incoming and outgoing correspondence, including emails, faxes, and mail Support billing, payroll preparation, and basic bookkeeping tasks using QuickBooks or similar systems Maintain organized digital and physical files, including caregiver credentials and client documentation Monitor office supplies and assist with general office management tasks Maintain a professional and welcoming reception area Provide administrative support for office projects and customer service initiatives as needed Qualifications and Experience Previous experience in an administrative, front desk, or office coordination role preferred Experience in home care, healthcare, medical office, or staffing environments is strongly preferred Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace Familiarity with QuickBooks or similar accounting systems is a plus Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment Excellent verbal and written communication skills with strong phone etiquette Ability to communicate effectively with diverse populations, including seniors and caregivers Bilingual abilities are highly desirable High level of computer literacy, including accurate typing and data entry Detail-oriented, reliable, and able to maintain confidentiality at all times This position requires a proactive, dependable individual who thrives in a service-oriented environment. The successful candidate will demonstrate professionalism, compassion, and a commitment to supporting quality care through effective coordination and communication.
