In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and excellent organizational skills will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment. Duties Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently Maintain accurate appointment scheduling and calendar management for staff and clients using Google Workspace or Microsoft Office tools Perform data entry, filing, and document proofreading to support office operations and record-keeping Handle incoming and outgoing correspondence, including emails, mail distribution, and courier services Assist with office management tasks such as supply inventory monitoring and billing Provide customer support by addressing inquiries, providing information about services, and ensuring a positive experience for all visitors Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail Proficiency with computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience managing multi-line phone systems with excellent phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with office management software such as QuickBooks or similar bookkeeping tools is a plus Strong typing skills along with time management capabilities to prioritize tasks efficiently Personal assistant or medical/dental receptionist experience is advantageous but not required; we value enthusiasm to learn!
