Overview We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. Responsibilities Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression. Answer multi-line phone systems promptly, directing calls efficiently and courteously. Manage front desk operations including scheduling appointments, handling mail, and maintaining visitor logs. Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software with accuracy. Maintain filing systems, update records, and ensure confidentiality of sensitive information. Support office management activities such as calendar management, supply ordering, and basic bookkeeping using QuickBooks or similar tools. Provide exceptional customer support by addressing inquiries, assisting with administrative requests, and ensuring a seamless experience for all visitors. Qualifications Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with data entry and proofreading. Excellent phone etiquette with experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client needs effectively. Previous experience as a receptionist in medical or dental settings is a plus; familiarity with medical or dental office procedures is advantageous. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Personal assistant or office management experience that demonstrates multitasking capabilities and attention to detail.
