Job Title Receptionist / BDC Representative Location Charlevoix, MI About Us Charlevoix Auto is a customer-focused dealership serving the Charlevoix area with a commitment to professional service, clear communication, and a welcoming showroom experience. Our team operates with strong processes and high standards for every customer interaction—whether in person, by phone, or online. Position Overview We're hiring a Receptionist with split BDC duties to serve as the first point of contact for customers and to support lead handling, follow-up, and appointment setting. This is a high-visibility role that blends front desk professionalism with CRM discipline, customer follow-up, and daily operational support. Key Responsibilities VIP Check-In & Showroom Experience Greet each customer promptly and professionally upon arrival Verify and update customer information in the CRM Add customers to the daily traffic/desk log and maintain accurate visit records Register customers using approved identification methods (customer ID or driver's license) in accordance with dealership policy Direct customers to current in-store promotions or check-in tools (as applicable) Coordinate and assist with manager and salesperson introductions for appointments and walk-ins Maintain showroom readiness: coffee/water/snacks refreshed, merchandising tidy, and customer areas clean and organized Ensure appointment/delivery board and daily traffic log are displayed and maintained correctly Reception & Phone Management Answer and route incoming calls in a designated, professional manner Provide a welcoming, helpful first impression for all visitors and callers Update internal contact sheets and communication lists as team members are added BDC Support (Split Duties) Support lead handling and follow-up for inbound internet inquiries and missed calls Make outbound calls, texts, and emails to confirm appointments and re-engage unsold opportunities Set, confirm, and manage appointments with a focus on show rate and quality handoffs Maintain clean CRM notes, statuses, tasks, and activity tracking for accountability CRM, Website, and Data Management Enter all showroom visitors and customer interactions into the CRM Complete end-of-day reconciliation for missing or incomplete CRM data Verify desk logs and appointment schedules are accurate and updated for the next business day Assist with website updates such as inventory photos, trade-in photo updates, and staff photo updates as assigned Verify photos and updates are posted correctly and maintain professional presentation standards Customer Relations, Retention, and Office Support Assist with customer relation calls after visits or sales as directed Follow up on "we owe" items and provide timely updates to management Support administrative tasks as assigned, which may include: DMS data entry and report preparation/distribution Mail and package organization, routing, and check pick-up support Office supply ordering and basic vendor coordination Dealer plate log tracking and vehicle key management procedures Bank deposit support, petty cash balancing, and check requisitions (as assigned) Monthly lot/inventory audit support to ensure documentation accuracy (as assigned) Ensure all communication and data handling comply with dealership policies and procedures Qualifications 1+ year of receptionist, BDC, call center, or customer-facing experience preferred (dealership experience is a plus) Strong phone presence with professional communication and customer service skills Comfortable balancing front desk responsibilities with outbound follow-up activity Strong attention to detail for CRM/DMS entry, logs, and documentation Organized, dependable, and able to multi-task in a fast-paced environment Basic computer proficiency; CRM/DMS experience preferred Schedule flexibility including some evenings and weekends as needed Why Join Us High-visibility role with direct impact on customer experience and appointment volume Structured processes and leadership support to help you succeed Opportunity to grow into BDC leadership, customer relations, sales support, or administrative roles Professional, team-first environment with clear expectations and accountability Benefits Competitive compensation Medical, dental, and vision coverage options Paid time off and paid holidays 401(k) retirement plan options Employee discounts and dealership perks Ongoing training and development How to Apply Submit your resume and a brief overview of your customer service and phone experience through the platform where you found this posting.
