Duties of the Receptionist involve greeting guests, contractors, mail person and others that visit our office in person each day with a professional and cheerful demeanor. This same demeanor should be displayed when answering our 7-line phone system. Duties also include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities. Receptionist responsibilities include, but are not limited to, answering phones, sending mailings to clients and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, MS Word and office equipment. If you have previous experience as a Receptionist or Secretary and familiarity within our industry, we'd like to meet you. Ultimately, a successful Receptionist should ensure the efficient and smooth day-to-day operation of our office. Responsibilities Greet visitors at the front desk of our reception area Answer and direct phone calls Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation and distribution of mailings to clients Maintain an established filing system Assist with notifying management when office supplies are needed Maintain contact lists Provide general support to visitors Work with Assistant Managers to handle requests and queries from Property Managers Skills Proven experience as receptionist or secretary Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS Word, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
