Job Description

Job Overview We are seeking an energetic and organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and staff. Your proactive approach and excellent organizational skills will ensure smooth office management and a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment. Must have social media experience and be able to learn social media. Responsibilities Greet visitors warmly, ensuring a professional and friendly first point of contact Answer, screen, and direct incoming calls using multi-line phone systems with proper phone etiquette Manage front desk operations, including scheduling appointments and maintaining visitor logs Perform data entry, filing, and document proofreading to support office efficiency Coordinate calendar management and appointment scheduling for staff or executives Maintain office supplies inventory and oversee general office organization and cleanliness. Light Cleaning Support clerical tasks such as photocopying, scanning, and preparing correspondence Utilize computer skills in Microsoft Office, Google Workspace, and other relevant software to support daily operations Provide customer support by addressing inquiries promptly and professionally Qualifications Proven office management or administrative experience with strong organizational skills Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Will to learn Medical Scheduling Software Excellent phone etiquette and communication skills; bilingual abilities are a plus Strong attention to detail for proofreading, filing, and record keeping Ability to manage time effectively in a fast-paced environment Previous experience as a receptionist in medical or dental settings is advantageous but not required Personal assistant or medical receptionist experience is desirable but not mandatory Knowledge of bookkeeping software such as QuickBooks is beneficial Join us as a Receptionist and be part of a vibrant team dedicated to delivering outstanding service while supporting the smooth operation of our office.
