Job Description

Primary Purpose:
The Receptionist/ Administrative Assistant will deliver exceptional customer service while creating a positive, friendly, and professional environment. This role plays an integral role in the daily operations of the office and is responsible for creating a meaningful first and last impression to all clients, advisors, vendors, and employees. As the face of the organization, the Receptionist performs a variety of client services to ensure that all employees and guests receive the VIP experience. The position will also organize and coordinate office administration and procedures, to ensure organizational effectiveness and efficiently keep the business operating smoothly on a day-to-day basis. The receptionist is the first point of contact during the standard workday, Monday through Friday between the hours of 8:00 a.m.

Key Responsibilities and Essential Functions:
  • Greet all guests and answer all incoming phone calls, directing them to the right person providing the VIP Experience.
  • Manage office inventory.
  • Manage all incoming and outgoing mail and shipments for the organization.
  • Serve as the primary owner of opening and closing the office, including but not limited to refilling coffee, loading/unloading the dishwasher, and ensuring executive offices and conference rooms are open. Ensuring the coffee is clean and put away, all office TVs are turned off, spot clean and organize the shared workspaces around the office as needed, and doors are closed.
  • Serve as the primary owner of office appearance, aesthetics, and hospitality which may include but not limited to, dusting, vacuuming, cleaning of surfaces in the company lobby, conference rooms, and all other company workspaces.
  • Identify opportunities for process and office management improvements, design and implement new systems, and maintain the Receptionist standard operating procedures (SOPs).
  • Manage relationships and service requests with vendors and property management.
  • Maintain accurate client and vendor data in the client relationship management (CRM) database and reporting systems.
  • Cultivate strong advisor, client, and vendor relationships to ensure prompt and consistent delivery of excellent customer service.
  • Organize and coordinate office administration and procedures, to ensure organizational effectiveness and efficiently keep the business operating smoothly on a day-to-day basis.
  • Assist in meeting preparation by gathering necessary information.
  • Assist in special projects and duties as assigned within functional/knowledge area.
  • Commit to continuous education and professional development to remain current in industry best practices and compliance rules and regulations.
Job Specifications:
  • High School Diploma or GED, required.
  • 2+ years front desk receptionist or relevant experience, required.
  • Proficient with Microsoft Office 365 Suite.
  • Experience using standard office equipment (printer, scanner, etc.).
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
