Job Description

Fairmont Farmers Mutual is seeking a professional, organized, and customer-focused Receptionist / Claims & Loss Control Assistant to support daily office operations and assist our Claims and Loss Control departments. This position serves as the first point of contact for policyholders, agents, vendors, and visitors while also providing administrative support related to claims handling, inspections, reporting, and loss control activities. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced insurance environment. Essential Duties & Responsibilities Reception & Administrative Support Answer and direct incoming phone calls in a courteous and professional manner Greet visitors, agents, policyholders, and vendors Manage incoming and outgoing mail, packages, and email inquiries Maintain office supplies, filing systems, and general office organization Assist with data entry, document preparation, scanning, and electronic filing Support various departments with administrative projects as needed Claims Support Assist with First Notice of Loss (FNOL) intake and claim setup Prepare and process claim correspondence and documentation Maintain accurate claim files and update claim management systems Coordinate communication between adjusters, agents, policyholders, and contractors Assist with payment processing, invoices, and claim-related records Monitor outstanding documentation and follow up when necessary Loss Control Support Prepare inspection reports and related documentation Track recommendations and follow-up activities for insured properties Maintain loss control databases, spreadsheets, and reports Assist with safety and risk management materials for agents and policyholders Support underwriting and loss control staff with administrative functions Qualifications High school diploma or equivalent required; associate degree or insurance-related coursework preferred Previous receptionist, administrative assistant, or insurance office experience preferred Strong customer service and communication skills Excellent organizational skills and attention to detail Ability to prioritize tasks and manage multiple responsibilities efficiently Proficient in Microsoft Office Suite, including Word, Excel, and Outlook Ability to maintain confidentiality and professionalism Preferred Skills Experience in property & casualty insurance Familiarity with claims management or agency management systems Ability to work independently and collaboratively within a team environment Strong problem-solving and follow-up skills Work Environment Primarily office-based position Standard business hours with occasional flexibility during high-volume periods Frequent interaction with policyholders, agents, vendors, and internal staff Benefits Competitive salary Paid time off and holidays Group Health Insurance - HSA Compliant 401k - 3% Employer Contribution Professional development and training opportunities Supportive team-oriented work environment This position starts at $18/hour depending on experience and is 40 hours per week, Monday-Friday.
