This energized role is vital in creating a positive first impression for visitors, clients, and staff alike. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to manage multiple administrative tasks efficiently. As the central hub of our office operations, you will ensure smooth daily functions while providing exceptional customer service and support. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls accurately and courteously to the appropriate departments or personnel Handle incoming correspondence, emails, and inquiries with clarity and professionalism Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and maintaining office equipment Provide customer support by addressing questions or concerns efficiently while demonstrating excellent phone etiquette Skills Proven experience in office management or administrative roles with strong clerical skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks for bookkeeping and basic financial tracking Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong typing skills coupled with attention to detail for proofreading and data entry tasks Bilingual abilities are highly desirable to assist diverse client needs Experience as a medical or dental receptionist is a plus, demonstrating familiarity with healthcare office procedures Exceptional customer service skills with a friendly demeanor and professional phone etiquette Ability to handle multiple responsibilities simultaneously while maintaining accuracy and efficiency Personal assistant experience or calendar management expertise enhances your suitability for this role Join us in creating a welcoming environment where every visitor feels valued!
