Job Overview We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your positive attitude and organizational skills will help create a professional and friendly environment for clients, visitors, and team members alike. Duties Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming correspondence, emails, and inquiries with accuracy and professionalism Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Support data entry tasks, including updating records and files. Assist with calendar management and appointment scheduling for staff Perform clerical duties such as proofreading documents, managing office supplies, and supporting bookkeeping activities Provide customer support by addressing questions or concerns with a friendly, helpful attitude Manage office operations including filing, photocopying, and organizing documents for easy retrieval Support personal assistant tasks as needed, ensuring efficient time management for team members Qualifications Proven experience in an office environment or as a receptionist with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems and phone etiquette standards Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting Experience with QuickBooks or similar bookkeeping software is a plus.
