Job Description

Job Summary We are seeking a dynamic and organized Receptionist / Administrative Assistant to join our team! This energetic role is vital in creating a welcoming environment for visitors and providing seamless administrative support across various office functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ensuring smooth daily operations and exceptional customer service. This position offers an opportunity to develop versatile office management skills while supporting a professional and friendly workplace. Duties Greet visitors warmly, manage front desk operations, and ensure a positive first impression Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar coordination. Perform data entry, filing, and maintain accurate records with attention to detail Support bookkeeping tasks using QuickBooks and assist with basic invoice processing Handle correspondence, proofread documents, and ensure all communications are clear and error-free Assist with office management duties including supply inventory, organization, and maintaining a tidy workspace Provide customer support by addressing inquiries via phone or email with excellent phone etiquette Support administrative tasks such as copying, scanning, mailing, and document management Maintain confidentiality of sensitive information while delivering outstanding service Experience Previous office experience or clerical background demonstrating strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and front desk operations preferred Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with QuickBooks for bookkeeping or data entry tasks is a plus Strong typing skills with high accuracy and quick turnaround times Excellent time management skills to prioritize tasks efficiently in a fast-paced environment Proven customer service experience demonstrating professionalism and patience.
