Receptionist Job Summary:
We are seeking an Office Assistant who will play a vital role in ensuring the smooth operation of the office. This role involves a variety of administrative tasks, including managing office supplies, handling correspondence, and supporting other departments as needed. The ideal candidate will be highly organized, proactive, and capable of multitasking in a fast-paced environment.
Responsibilities:
Greet and assist visitors, clients, and employees in a professional and friendly manner. Answer and direct phone calls, taking messages as necessary. Manage and distribute incoming and outgoing mail and packages. Maintain office supplies inventory by checking stock and ordering new supplies as needed. Schedule and coordinate meetings, appointments, and travel arrangements. Assist in the preparation of company reports, presentations, and correspondence. Perform data entry and maintain accurate records and files. Support HR, Finance, and other departments with administrative tasks and projects. Ensure the office is clean, organized, and well-maintained. Handle confidential information with discretion and professionalism.
Skills/Abilities:
High school diploma or equivalent; Associate's degree or higher preferred. Proven experience as an office assistant, administrative assistant, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills. Strong organizational and time management skills. Ability to multitask and prioritize tasks effectively. Attention to detail and problem-solving skills. Professional demeanor and strong interpersonal skills. Ability to work independently and as part of a team.
