This position is responsible for creating a welcoming and professional environment while ensuring efficient front office operations. The Front Desk Receptionist performs a variety of administrative, clerical, and customer service duties to support daily agency operations and maintain an organized, clean, and professional office environment. Reports To Executive Director or Designee Employment Status Hourly, Non-Exempt Essential Job FunctionsClient Reception & Customer Service Greet clients, visitors, vendors, and community partners in a professional, friendly, and welcoming manner. Check clients in for scheduled appointments and notify staff of client arrival. Assist clients with completing intake paperwork and required forms as appropriate. Answer general questions regarding agency services and direct individuals to the appropriate staff member. Maintain confidentiality and professionalism during all client interactions. Telephone & Communication Answer incoming telephone calls promptly and professionally. Route calls to appropriate staff members or departments. Take accurate messages and ensure timely delivery. Monitor and respond to general office voicemail and email inquiries as assigned. Provide exceptional customer service while maintaining confidentiality. Administrative Support Provide administrative support to leadership and program staff. Scan, copy, print, file, and organize agency documents. Prepare client files and maintain organized filing systems. Assist with data entry and maintaining electronic records. Monitor office supply inventory and notify management when supplies need replenished. Assist with scheduling, mail distribution, and other clerical tasks as assigned. Support agency events, trainings, and meetings with preparation and administrative assistance. Office Operations Maintain a clean, organized, and welcoming reception area. Assist with light office cleaning, including: Emptying trash receptacles. Cleaning and sanitizing the reception area and common spaces. Restocking office and restroom supplies. Organizing waiting areas, break rooms, and conference rooms. Maintaining overall office appearance throughout the day. Report maintenance or safety concerns to management. Qualifications High school diploma or GED required. Previous receptionist, customer service, or administrative experience preferred. Excellent verbal and written communication skills. Strong organizational and time management skills. Ability to maintain confidentiality and professionalism. Proficiency with Microsoft Office and general computer applications. Ability to learn agency electronic health record (EHR) and scheduling systems. Ability to multitask in a fast-paced environment. Work Environment This position is primarily office-based and requires regular interaction with clients, families, staff, and community partners. The Front Desk Receptionist may interact with individuals experiencing behavioral health concerns, crisis situations, or emotional distress and is expected to remain calm, professional, and compassionate. Additional Expectations Maintain strict confidentiality of all client, employee, and agency information. Adhere to all agency policies, procedures, HIPAA requirements, and professional standards. Maintain a professional appearance and demeanor. Perform other duties as assigned to support agency operations.
