Job Description

The Department of Institutional Advancement at Jackson State University is accepting applications for its receptionist position.
Front Desk Operations:
Greet and assist visitors in a professional and courteous manner; manage visitor log and security protocols.
Call Management:
Answer and route incoming calls promptly and accurately; take detailed messages when necessary.
Scheduling & Coordination:
Manage meeting room reservations, schedule appointments, and assist with calendar coordination for executives.
Administrative Support:
Handle mail distribution, shipping/receiving, scanning, filing, and data entry with accuracy.
Client Service Excellence:
Provide information and assistance to clients, vendors, and employees while maintaining confidentiality.
Office Maintenance Oversight:
Ensure reception area and meeting spaces remain clean, stocked, and presentable at all times.
Technology Support:
Operate multi-line phone systems, office equipment, and software applications; troubleshoot basic equipment issues.
Special Projects:
Assist with company events, travel arrangements, and other administrative tasks as assigned. Other duties assigned. 3+ years in customer service, administrative, or hospitality roles. High school diploma required; associate's or bachelor's degree preferred. Customer service certifications, or administrative assistant certificates can be a plus.
Proficient with office software:
Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Familiarity with CRM databases or front desk management tools. Ability to troubleshoot basic office equipment (printers, copiers, and phone systems). Professional personal appearance, aligned with the university and division's brand. Reliable and punctual. Professional verbal, written, and listening communication skills. Friendly, approachable demeanor that puts visitors and callers at ease. Ability to manage difficult or upset individuals with diplomacy and tact. Maintains strict confidentiality on sensitive matters. Keen attention to detail, with a problem-solving mindset.
