Job Description

Job Overview We are seeking an energetic and highly organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your proactive approach and excellent organizational skills will ensure smooth office management and a positive first impression for everyone who walks through our doors. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently to the appropriate departments or personnel. Handle all front desk duties including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures. Perform data entry, filing, and document proofreading to support office operations with accuracy and attention to detail. Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative tasks. Assist with clerical duties such as photocopying, faxing, and organizing office supplies to maintain an organized workspace. Provide customer support by addressing inquiries professionally and ensuring a seamless experience for clients and visitors. Support bookkeeping activities by managing basic record keeping and financial documentation when needed. Maintain a clean, organized reception area that reflects a professional environment at all times. Qualifications Proven experience in office management, clerical work, or as a receptionist is preferred. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks is highly desirable. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are a plus to serve diverse client needs effectively. Exceptional customer service skills combined with professional phone etiquette and strong communication abilities. Prior experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is preferred. Demonstrated ability to handle confidential information discreetly while maintaining accuracy in record keeping. Personal assistant or medical/dental receptionist experience is advantageous but not required; relevant office experience is essential.
