Job Description

Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks efficiently, and support various office functions with enthusiasm. Your proactive approach and excellent communication skills will help foster a welcoming atmosphere and keep our daily activities running seamlessly. Responsibilities Greet visitors and clients professionally, providing exceptional customer service at the front desk Manage multi-line phone systems, directing calls accurately and courteously Handle data entry, filing, and document proofreading to maintain organized records Assist with calendar management and scheduling appointments for staff and management Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Perform clerical duties including typing, photocopying, scanning, and maintaining electronic files using Google Workspace and Microsoft Office tools Provide general administrative support, including customer support via phone or email, ensuring excellent phone etiquette and responsiveness Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is preferred Excellent communication skills in English; bilingual abilities are a plus Familiarity with multi-line phone systems, data entry, filing, and proofreading processes Strong time management skills with the ability to prioritize tasks effectively Previous experience as a receptionist, medical receptionist, dental receptionist or personal assistant is advantageous Knowledge of office management practices along with clerical experience in a professional setting Ability to handle customer service interactions with professionalism and courtesy while maintaining high phone etiquette Join us as an Office Assistant and become an integral part of a team that values energy, efficiency, and excellence!
