Job Description

Job Summary We are seeking an energetic and organized Receptionist to be the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your positive attitude and efficient administrative skills will ensure smooth daily operations, creating a professional and friendly environment for all who walk through our doors. Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression Manage multi-line phone systems with professionalism, answering inquiries and routing calls efficiently Handle front desk responsibilities including scheduling appointments, managing mail, and maintaining visitor logs Utilize office management software such as QuickBooks, Microsoft Office, and Google Workspace to perform data entry, filing, and record keeping Support administrative tasks like proofreading documents, managing calendars, and organizing files for various departments Provide customer support by addressing questions promptly and professionally, ensuring excellent customer service standards are met Assist with clerical duties such as typing correspondence, maintaining office supplies, and supporting bookkeeping activities Skills •Spanish Speaker Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and phone etiquette to handle high-volume calls confidently Bilingual abilities are highly desirable to serve diverse clients and visitors effectively Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Demonstrated office management experience including calendar management and data entry skills Knowledge of QuickBooks for bookkeeping purposes is a plus Exceptional customer service skills with a friendly demeanor and professional appearance Ability to proofread documents accurately and maintain attention to detail in all tasks Previous clerical or administrative experience in a medical or dental setting is advantageous but not required Strong time management skills to handle multiple responsibilities simultaneously while maintaining accuracy Join us as a Receptionist and become an integral part of a vibrant team dedicated to delivering outstanding service.
