Job Description

Job Overview We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, providing exceptional customer service while efficiently managing administrative tasks. Your energy, professionalism, and multitasking skills will help ensure smooth daily operations across our office environment. This paid position offers an exciting opportunity to develop your office management expertise while supporting a vibrant team dedicated to excellence. Duties Greet visitors warmly and professionally, ensuring a positive first impression for clients and guests Manage multi-line phone systems with courteous phone etiquette, directing calls accurately and promptly Handle front desk responsibilities, including signing in visitors and maintaining visitor logs Perform data entry, filing, and document proofreading to support administrative workflows Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and record keeping Assist with calendar management and appointment scheduling for staff members or executives Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Provide customer support by answering inquiries via phone or email with professionalism and clarity Maintain organized records through filing systems, both physical and digital, ensuring easy retrieval of information Support personal assistant duties when needed, including managing schedules or preparing documents for meetings Support Sales, Finance, Parts and Service with various admin functions and duties. Qualifications Proven office experience with strong clerical skills and familiarity with office management procedures Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience using multi-line phone systems and practicing professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Attention to detail for proofreading documents and maintaining accurate records Previous experience as a receptionist, medical receptionist, dental receptionist or personal assistant is preferred Knowledge of QuickBooks or bookkeeping experience is a plus Demonstrated customer service skills with a friendly attitude and positive approach to problem-solving Ability to manage time effectively while handling multiple responsibilities simultaneously Self motivated and Strong work ethic Join us in creating an energetic workplace where your organizational talents make a real difference! Pay:
$15.00 - $17.00 per hour
