Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and valued Manage multi-line phone systems, screen calls, and direct inquiries to appropriate team members promptly Handle appointment scheduling, calendar management, and coordinate meetings using various digital tools Maintain accurate data entry, filing systems, and document proofreading to ensure information integrity Support office management tasks such as organizing supplies, managing correspondence, and overseeing clerical duties Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily operations Provide exceptional customer support by addressing inquiries efficiently and maintaining excellent phone etiquette Requirements Proven office experience with strong clerical and administrative skills Proficiency in computer literacy including Microsoft Office applications and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills with attention to detail for data entry and proofreading tasks Experience with multi-line phone systems and phone etiquette standards Bilingual abilities are highly desirable to serve diverse client needs Knowledge of office management practices such as filing, calendar management, and time management strategies Prior experience as a receptionist in medical or dental settings is a plus but not required Personal assistant or bookkeeping experience will be considered advantageous Demonstrated customer service skills with a friendly attitude and professional demeanor Join us in creating a welcoming environment where every visitor receives top-tier support!
