Job Description

Overview We are seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk management with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. Duties Greet visitors, clients, and vendors warmly, creating a positive first impression for everyone entering the office Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness Maintain organized filing systems—both physical and digital—ensuring documents are easily accessible and properly stored Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records and databases Schedule appointments, manage calendars, and coordinate meetings for staff or executives with attention to detail Support office management activities including supply inventory checks, order placements, and maintaining a clean, professional workspace Provide exceptional customer support by addressing inquiries promptly and courteously in person or over the phone Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to serve diverse client needs effectively Strong typing skills combined with attention to detail for data entry and proofreading tasks Exceptional time management skills to prioritize tasks efficiently in a busy environment Previous experience as a automotive receptionist is advantageous for understanding front desk operations in specialized settings Personal assistant experience or calendar management skills help coordinate schedules seamlessly Knowledge of office management principles to streamline daily operations effectively Join us in creating an inviting environment where professionalism meets energetic service!
