Westfield Plastic Surgery Center is seeking a friendly, organized, and detail-oriented Front Desk Coordinator to join our team. Working alongside our board-certified plastic surgeon, Dr. Nagi T. Ayoub, MD, FACS, you will play a vital role in ensuring every patient receives outstanding service from their first phone call through their final visit. We are looking for someone who is passionate about patient care, enjoys multitasking, and takes pride in maintaining a welcoming and efficient front office. Responsibilities Patient Reception & Customer Service Greet and assist patients and visitors in a professional and courteous manner Answer incoming phone calls, triage inquiries, and direct calls appropriately Record and distribute messages accurately and promptly Maintain a clean, organized, and welcoming reception area Address patient concerns and provide exceptional customer service Appointment Scheduling & Coordination Schedule, reschedule, and confirm patient appointments Follow up on missed appointments and patient no-shows Coordinate physician schedules and assist with calendar management as needed Process referrals and maintain referral tracking records Patient Registration & Medical Records Verify and update patient demographic and insurance information Maintain accurate patient records and ensure confidentiality Process medical records requests in compliance with HIPAA and clinic policies Scan, file, and manage electronic documentation Insurance, Billing & Payment Processing Collect co-pays and patient payments Balance and reconcile daily cash drawer transactions Assist patients with billing and insurance-related questions Maintain accurate financial documentation and daily reports Administrative Support Manage incoming and outgoing mail, faxes, and correspondence Monitor office supply inventory and coordinate ordering as needed Operate office equipment, including copiers and phone systems Assist with special projects and additional administrative duties as assigned Team Collaboration Participate in staff meetings, training, and continuing education opportunities Follow all clinic policies regarding quality improvement, safety, infection control, and patient confidentiality Contribute positively to a collaborative, patient-focused team culture Qualifications Required High School Diploma or GED Excellent customer service and communication skills Strong organizational skills and attention to detail Ability to multitask in a busy medical office environment Basic computer proficiency and typing skills Preferred 1+ year of medical reception, healthcare administration, or medical office experience Experience with insurance verification and patient registration Knowledge of medical terminology Experience with electronic medical records (EMR) systems Cash handling and payment processing experience Skills & Attributes Professional and positive attitude Strong telephone etiquette Ability to maintain confidentiality and HIPAA compliance Excellent written and verbal communication skills Dependable, punctual, and team-oriented Ability to remain calm and professional in high-volume situations Physical Requirements Ability to sit, stand, and walk for extended periods Ability to perform repetitive computer and keyboard tasks Ability to lift and carry office supplies and materials as needed If you are passionate about patient care and want to be part of a supportive, award-winning practice dedicated to excellence, we encourage you to apply.
