Job Description

Job Overview VIVE Hair Studio is seeking a friendly, organized, and reliable full-time or part-time receptionist to join our team. This role is essential in creating a welcoming, professional, and seamless experience for every client who walks through our doors. The ideal candidate is someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping things running smoothly. As the first point of contact, you will play a key role in setting the tone for our client experience. Duties Greet visitors and clients warmly, providing excellent customer service and ensuring they feel welcomed and valued Answer multi-line phone systems promptly, directing calls accurately and professionally using proper phone etiquette Manage appointment scheduling and calendar coordination for staff or practitioners Handle data entry tasks with precision, including filing, maintaining records, and updating databases using Microsoft Office, Google Workspace, and other office software Perform clerical duties such as proofreading documents, organizing files, and managing correspondence Support office management activities by assisting with bookkeeping, invoicing in QuickBooks, and basic office supply inventory management Provide general administrative support including typing reports, supporting customer support efforts, and assisting with personal assistant tasks as needed Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Demonstrated experience in office management or administrative roles with clerical experience preferred Exceptional customer service skills coupled with professional phone etiquette for handling inquiries via multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with medical or dental receptionist duties is a plus, including calendar management and patient data entry Proven ability to manage time effectively while maintaining accuracy in data entry, proofreading, filing, and bookkeeping tasks Join us to be part of a lively team where your organizational talents and positive attitude will make a real difference!
