Job Description

Job Summary We are seeking a dedicated and detail-oriented receptionist to join our physical therapy team. The ideal candidate will serve as the first point of contact for our patients while expertly managing medical insurance verification, billing processes, and appointment scheduling. This role is essential in ensuring smooth clinic operations and an excellent patient experience from check-in through billing. We are looking for enthusiastic candidates who are able to work year-round. Students are encouraged to apply but must be available 8-5 MWF during the school year. Duties Verify patient insurance eligibility and benefits prior to appointments, and obtain prior authorizations as required. Process and submit medical billing claims accurately, following up on outstanding claims and resolving billing discrepancies. Manage patient scheduling, including booking new evaluations, recurring therapy appointments, and handling cancellations or rescheduling. Collect and post patient co-pays, co-insurance, and outstanding balances at the time of service. Maintain accurate and up-to-date patient records, including demographic and insurance information, in the practice management system. Communicate professionally with patients, insurance companies, and clinical staff to coordinate care and resolve issues promptly. Collaborate with physical therapists and clinical staff to ensure scheduling aligns with treatment plans and provider availability. Experience Prior experience in medical billing, insurance verification, or front-desk operations in a healthcare setting is strongly preferred. Familiarity with medical terminology, ICD-10/CPT coding, and insurance claim processes related to physical therapy. Experience with practice management or electronic health record (EHR) software is a plus. Strong organizational skills and attention to detail, particularly when handling sensitive patient and financial information. Excellent interpersonal and communication skills with a patient-first mindset and a professional demeanor. Ability to multitask effectively in a busy outpatient clinic environment while remaining accurate and composed.
