In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience. Your proactive approach, excellent communication skills, and organizational prowess will help maintain an efficient front office environment. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain organized files, data entry records, and filing systems to support office operations. Assist with maintenance service request scheduling, calendar management, and coordinating meetings or events. Support office management tasks such as supply inventory, proofreading documents, and basic bookkeeping. Provide exceptional customer support by addressing inquiries accurately and courteously in person or over the phone. Requirements Proven office experience with strong clerical skills and familiarity with office management procedures. Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications. Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Exceptional phone etiquette and communication skills; bilingual abilities are a plus. Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management. Knowledge of property management duties is advantageous but not required; training will be provided if necessary. Previous customer service or administrative experience demonstrating reliability and professionalism.
