Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience. Your positive attitude, excellent communication skills, and ability to manage multiple tasks efficiently will contribute significantly to our office environment. This paid position offers an exciting opportunity to develop your administrative and customer service skills while supporting daily operations. Responsibilities Greet visitors and clients warmly, providing exceptional customer service at all times Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately Schedule appointments and coordinate calendar management for staff or professionals Handle incoming and outgoing mail, emails, and deliveries with accuracy and timeliness Maintain organized filing systems, data entry records, and office supplies inventory Assist with clerical tasks such as proofreading documents, updating records in QuickBooks or Google Workspace, and performing basic bookkeeping Support office management activities by coordinating meetings, managing office equipment, and ensuring a professional environment Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional phone etiquette and customer support skills to handle inquiries professionally Bilingual abilities are a plus to serve diverse client needs more effectively Previous office experience or clerical experience is preferred; familiarity with medical or dental receptionist duties is a bonus Attention to detail for proofreading documents and data entry accuracy Ability to multitask in a fast-paced environment while maintaining professionalism and friendliness Personal assistant or administrative experience that includes calendar management or office management responsibilities is highly desirable Join us in creating a welcoming atmosphere where every visitor feels valued!
