This role requires excellent customer service skills, strong office management abilities, and proficiency with various administrative tools. The ideal candidate will be adept at handling multi-line phone systems, managing registrations, and providing exceptional support to ensure smooth daily operations within our office environment. Duties Greet, welcome, and assist with membership and other programs while maintaining a positive, enthusiastic and helpful attitude. Registration and payment collection for all programs. Maintain and file applications for all programs Duties will include performing administrative duties including answering telephones, redirecting communication to appropriate staff members, working with security personnel, sending and receiving daily emails, computer entry, photocopying, updating bulletin boards and being the point person for reception. Communicate with staff in distributing memos, mail and other notices as needed, updated information for all staff lists, phone extensions. Respond to Member's concerns, suggestions and complaints in a timely, professional and consistent manner. Submitting orders received from department heads Assist with clerical duties such as typing correspondence, managing emails, and supporting personal assistant tasks as needed Ensure the reception area remains tidy and welcoming at all times Financial reporting data entry. Requirements Excellent interpersonal, communications, and customer service skills Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills Experience with QuickBooks or bookkeeping is advantageous Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are preferred to assist diverse visitors and callers Demonstrated customer service excellence with professional phone etiquette and communication skills Ability to manage time effectively and prioritize tasks appropriately Previous experience with front desk operations, office management, or administrative support is highly desirable This position offers an engaging work environment where professionalism and customer service are valued. The successful candidate will play a key role in creating a positive first impression for visitors while supporting the overall efficiency of our office operations.
